Start mail merger
o Start mail merge : Start mail merge is the process to create multiple works for
● Multiple letter: (Offer letter, invitation card, Result card or any other document)
● Envelopes: (create multiple where letter send by company)
● Label: (create sticker/ logo for a company and apply on letter or envelope)
o Select Recipients: Before create a letter we most create a list of person or related records.
For example : We want to create offer letter for 10 employee wit name contact and their designation with salary , firstly we customize column after click on, Type a new list, and delete all exciting list add new filed for offer letter (name, contact designation or any other related to letter. Fill details of 10 employee by press tab key and save the list for use again in future.)
o Use an exciting list : It will open our previous save list file.Using this command insert merge field activate with related field exits in list.
o Edit recipient list : If we want to update any records , delete record, customize column before placing any fields we can edit list easily (if command not work close word all document re open file re open existing list then click again on edit recipient list for update entry).
Write and insert field
This sections enables/active when we create a list of data and open any existing record file.
o Insert merge field : Insert field where you want to replace a letter.
o Highlight merge field : Highlight all field where we place field through insert merge field command.
o Greeting line: Show the salutation in our letter(Example: Dear sir/Madam)
o Address Block: Show the name city and or address field where address field where address block inserted.
o Match field: Check the other field data match in recipients list or not with built in field.
o Rules: Can be use for check condition (if -else) in our letter. Example if we want to show result of students in pass or fail in field average - if average marks above 33 then show pass otherwise show fail (using if - else rule).
Preview and result
o Preview Result: After placing field through insert merge field. We can preview our present letter hoe its look with list data, next record, previous record works when we click on previous result.
o Find Recipients: We can type any data from the field if found in the list its show related records in letter, here is a example of find recipients.
o Check for Errors: It will merge letter no error found otherwise show errors, where records list empty or no exist.
Finish & Merge
o Finish & Merge: Using this we can print multiple records according to Recipient's list data and convert the current data into multiple document. It show in multiple pages with different data. Same work foe Envelop and Labels if multiple create.
Create
o Envelopes : We can create single envelopes and multiple envelopes (Create multiple list data). Add single address and return address envelopes section and click on add to new document to converts document into envelopes.
o Labels : We can create multiple labels for branded products, CD, DVD etc.
